Water Bottling Line RFQ: Build a Comparable Supplier Brief

A useful request for quotation gives each supplier the same bottle, output, site and supply boundary. Use the register below to separate confirmed inputs from open decisions, then generate a brief for your project.

Issue a Controlled Brief, Not a BPH Number

Give the RFQ a reference and revision. Identify the launch format, the proposed production route and the person who can answer technical questions. Where an input is unknown, state what is missing and when it will be confirmed; do not substitute an assumed value without labeling it.

Organize the RFQ Into Five Document Groups

The package register identifies each bottle, neck, cap, label, code location, retail pack and pallet arrangement. Link drawing or sample references to a named format. A file called latest-bottle.pdf is difficult to trace after several suppliers have reviewed different versions.

The output schedule records required good output for each format, the production window and any planned changes. State whether the requirement is bottles per running hour, accepted packs over a test period or daily production. Keep those measurements distinct.

The process and site pack records the water source and available analysis, the intended product, the building drawing, access routes and available utilities. Mark proposed treatment and utility design as pending where evidence is incomplete.

The equipment boundary defines where the line starts and ends: purchased bottles or preforms at the inlet, and bottles, packs or secured pallet loads at the outlet. Identify retained machines and buyer-side work.

The response pack asks for a coordinated equipment list, layout, utility schedule, format performance table, deviations and acceptance proposal. Specify the response revision so later commercial comparisons refer to the same documents.

A Register That Makes Missing Information Visible

Use the fields in the table as an issue register. Each open item needs an owner and a requested decision date. A blank status should remain an unanswered question rather than becoming an implicit supplier assumption.

Distribute clarifications to all bidders working from that RFQ revision. If a new bottle or pack changes the requirement, issue a revised register and ask which equipment, price and schedule assumptions are affected.

Require a Response Against Each Requirement

Give requirements stable identifiers such as PKG-01 for the launch bottle and OUT-01 for accepted output. Ask the supplier to respond with confirmed, proposed alternative, buyer action required or not offered, and to cite the relevant drawing or proposal section.

A proposed alternative is useful when its effect is explained. For example, a different packing route changes material supply, handling, footprint and the accepted-output endpoint. Keep that alternative separate from the base offer.

Before comparing totals, resolve the differences that change product compatibility or the production boundary. Unpriced buyer work and unanswered acceptance conditions should stay visible in the comparison.
